Hiyacar Modern Slavery Statement

Hiyacar Limited ('the Company', 'we', 'us' or 'our') is committed to preventing slavery and human trafficking violations in its own operations, its supply chain, and its products. We have zero-tolerance towards slavery and require our supply chain to comply with our values.

This statement sets out how Hiyacar seeks to ensure that its operations and its supply chains are kept free of slavery and human trafficking (“Modern Slavery”). This statement is consistent with our Employee Handbook, and expresses our commitment to operate in an ethical and transparent manner and to protect and advance human dignity and human rights in our business practices.

Our Structure

Hiyacar is the UK’s leading vehicle sharing provider with over 8 years experience. We not only empower private vehicle owners and drivers, but use our experience to help organisations with pool car technology.

The Hiyacar platform allows them to reduce the size of their fleet, measure their transport emissions, monitor driver behaviour and most importantly reduce grey fleet mileage emissions and costs. Through our platform, public sector bodies are also able to share their fleet with the public out of business hours, further reducing their overall transport costs.

Hiyacar is based in London and operates throughout the UK. It has over 20 Employees.

Supply Chain

We operate in the technology and mobility sectors. The nature of our supply chains are as follows:

  • Infrastructure, hosting & SaaS providers that host and process our customer data and power our SaaS platform
  • Third party consultants that we engage with to supply services such as accounting, legal counsel, PR, marketing and other professional services.
  • Service providers that supply services such as IT support, vehicle telematics & HR support.

Risk & Compliance

The Company continually evaluates the nature and extent of its exposure to the risk of slavery and human trafficking occurring in its supply chain. Our assessment focuses on a number of areas:

HR Processes

We ensure all employees have the appropriate work entitlements, including age related laws, when employed and review these as necessary.

Contractors

Our use of contractors is generally limited and currently only involves engaging with UK based contractors.

Geography

At present all of our customers and the majority of our suppliers are located in countries that we do not consider to be a high risk for Modern Slavery.


Where it comes to the manufacture of vehicles, we believe that extensive resources of global vehicle OEMs must be deployed to prevent and mitigate the risk of slavery and human trafficking, so we also view this risk as relatively low.

We do not tolerate slavery and human trafficking in our supply chains. Where there is evidence of failure to comply with our policies and procedures by any of our suppliers, we will seek to terminate our relationship with that supplier immediately.

Policies

Despite our assessment that the Modern Slavery risk presented by our operations and supply chains is low, we have appropriate policies in place that underpin our commitment to ensure that there is no Modern Slavery in our supply chains or in any part of our business. We continuously review and update all our policies.

These policies include:

  • Whistleblowing Policy
  • Anti-Bribery and Corruption Policy

We make sure our suppliers are aware of our policies and adhere to the same standards.

Due Diligence

As part of our efforts to monitor and reduce the risk of slavery and human trafficking occurring in our supply chains, we have adopted the following due diligence procedures:

  • We will enquire about modern slavery practices during supplier contract (re)negotiations
  • Periodic internal supplier audits.

Our due diligence procedures aim to:

  • Identify and action potential risks in our business and supply chains.
  • Monitor potential risks in our business and supply chains.
  • Reduce the risk of slavery and human trafficking occurring in our business and supply chains.
  • Provide protection for whistleblowers.

Training

The Company requires its staff to complete training and ongoing refresher courses on slavery and human trafficking. The Company's training covers:

  • How to identify the signs of slavery and human trafficking.
  • What initial steps should be taken if slavery or human trafficking is suspected.
  • How to escalate potential slavery or human trafficking issues to the relevant parties within the Company.
  • What external help is available.
  • What steps the Company should take if suppliers in its supply chain do not implement anti-slavery policies in high-risk scenarios, including their removal from the Company's supply chain.

Effectiveness

The Company uses Key Performance Indicators (KPIs) to measure its effectiveness and ensure that slavery and human trafficking is not taking place in its business and supply chains. These KPIs are as follows:

  • The number of whistleblower complaints received.
  • The number of high-risk countries in which we have suppliers

Next Steps

In the next financial year, we intend to take the following steps to tackle slavery and human trafficking by:

  • Implementation of a Supplier Code of Conduct that all new suppliers (and existing suppliers upon renewals) must demonstrate adherence to.
  • Continuing to develop our internal training schemes in accordance with current best practices.
  • Review our modern slavery risks annually.

This statement is made in accordance with the Modern Slavery Act 2015 and constitutes Hiyacar’s slavery and human trafficking statement for the financial year ending December 31, 2023. This statement was approved by the board of directors on 26th July 2024.
